ROLE OVERVIEW:

As the Agency Operations Coordinator at Forest Colard, you will play a key role in supporting our CEO and COO by tackling essential operational and financial tasks to ensure that they run smoothly. While your main focus will be on maintaining day-to-day operations, you’ll also have the opportunity to contribute to agency-wide projects and manage ad-hoc tasks as they arise. This part-time role is ideal for someone who is detail-oriented, proactive, and eager to take on more responsibility as you become familiar with our processes.

You’ll act as the right-hand support for our leadership team, ensuring workflows remain efficient and operations stay on track. By handling core activities and overseeing financials, you’ll play a crucial part in driving the agency’s growth and success.

OPERATIONAL MANAGEMENT:

  • Take charge of reconciled transactions and provide a clear view of project profitability on a monthly and quarterly basis.

  • Support the COO with bank account reconciliations, gradually expanding your responsibilities to include:

    • Internal project reconciliation

    • Client invoice reconciliation

BUSINESS OPERATIONS:

  • Keep our Business-as-Usual (BAU) tasks running smoothly on a weekly and monthly basis, including:

    • Administering monthly salary payments and related processes.

    • Handling Employers’ NI payments and administration.

    • Overseeing freelancer payments and associated admin.

    • Conducting timesheet and chargeability analysis.

    • Approving annual leave requests and maintaining tracking records.

    • Efficiently processing team expenses.

    • Managing new-joiner onboarding admin, including gathering PAYE and pension details.

FINANCIAL ADMINISTRATION:

  • Oversee client payment administration/accounts receivable, ensuring you have an up-to-date view of overdue accounts.

  • Manage project close-down administration, making sure all records are accurate and complete.

FUTURE GROWTH OPPORTUNITIES:

  • As you settle into the role and get a better grasp of our processes, you’ll have the chance to take on more responsibilities, such as:

    • Leading internal project reconciliations.

    • Assisting with financial forecasting and budgeting.

    • Streamlining operational processes for greater efficiency.

    • Contributing to strategic planning initiatives and process improvements.

DESIRABLE SKILLS AND CHARACTERISTICS:

  • Non-Negotiables:

    • Relevant Experience: At least 1 year in business operations, finance, or administrative roles.

    • Software Proficiency: Proficiency in Xero or similar accounting software.

    • Organisational Skills: Strong organisational skills and a keen eye for detail. Communication Skills: Excellent communication with a knack for collaboration.

    • Project Management: A proven ability to juggle multiple projects while meeting deadlines.

    • Financial Acumen: Solid understanding of financial principles, including budgeting and forecasting.

  • Nice to Haves:

  • Advanced Excel Skills: Comfortable using Excel for data analysis and reporting.

  • Process Improvement: Experience in spotting opportunities for process improvements and making them happen.

  • Team Support Experience: Background in providing support to teams or executives in a fast-paced environment.

HIGH-LEVEL JOB TERMS:

  • Part-time or contract role: 

    • This is a half-time position, requiring 20 hours per week.

  • Probationary period: 

    • The role will be subject to a 3-month probationary period, during which both parties can assess the fit for the position. At the end of this period, a review will be conducted to determine the continuation of the role, ensuring mutual alignment and potential for long-term success.

  • Hybrid working: While the position will be largely remote once you’re up to speed, it will require more in-person time initially to get acquainted with our processes and team. 

    • Meetings can take place at any of our London offices (Soho, Temple, Kings Cross, White City, Shoreditch).
